Job description:
Role purpose
This role exists to make sure every supplier and employee across the Mitti Group is paid accurately and on time. The Accounts Payable (AP) Specialist does this by keeping invoice processing, expense approvals and payment runs on track, and by keeping vendors and internal teams well supported.
Key responsibilities
Work as part of the AP team, under the AP Manager, to process invoices in Zip from intake and coding through to approval, so invoices are processed accurately and within agreed turnaround times.
Assist in preparing the weekly AP payment run and the employee expense pay run, working with the AP team and the AP Manager, and act as backup for the AP Managerโs payment run.
Review employee expense reports in Navan against policy, give clear feedback where something does not comply, and clear approvals promptly.
Contribute to the shared AP inbox in Intercom, giving suppliers and internal staff timely, accurate answers and resolving queries through to completion.
Keep supplier records in NetSuite accurate and current by onboarding new vendors, validating their details and tidying up records when needed.
Support month-end close with credit card reconciliations and other AP tasks, delivering by the agreed deadlines.
Contribute to the weekly AP payables review for Financial Planning & Analysis (FP&A), and flag any trends or risks in what you see.
Look for ways to improve how AP work gets done, including using AI and automation, and put forward changes to the AP Manager.
Required skills & experience
Technical skills
Accurate invoice coding and matching across multiple legal entities and currencies.
Working knowledge of AP controls, including vendor validation, approval workflows and segregation of duties.
Ability to reconcile credit card and expense data to the general ledger.
Confidence learning finance systems quickly. Experience with Zip, NetSuite, Navan or Intercom is a plus, and training will be provided.
Clear written English for supplier and stakeholder communication.
Proven track record of high-volume, deadline-driven AP processing, ideally in a fast-growing or software-as-a-service (SaaS) environment.
Behavioural skills
Detail-focused and self-checking: reviews their own work before it reaches anyone else.
Self-directed: manages competing deadlines independently and flags risks early, without needing to be chased.

Solution oriented: brings options, not just problems, when something is not working.
Customer minded: treats suppliers and colleagues as customers, and works well across the Manila and Australia teams.
AI skills
Uses Claude and other AI tools as part of everyday work, for example to draft vendor responses, summarise queries, and spot anomalies or duplicates in payment and expense data.

Success looks like
Invoices are processed within agreed turnaround times, and none are left in draft at the end of each day.
The AP inbox is actioned daily, with vendor and employee queries resolved first time wherever possible.
The team's payment runs and expense runs go out on schedule and free of errors, with this role's contribution accurate and on time.
Month-end AP and credit card reconciliation tasks are completed by the close deadlines.
