Job Description

Northwestern Medicine has an exciting opportunity for a Program Coordinator to work in our Provider Operations department. In this role, the successful candidate will:

    1. Support local operations leaders by acting as a subject matter expert regarding the onboarding and offboarding processes for providers at NM.
    2. Serve as an educator and internal consultant to operations leaders.
    3. Communicates effectively with operations leaders and system function teams via email, Teams meetings, and in person.
    4. Maintain resources and websites
    5. Utilize Excel to maintain a provider onboarding dashboard reflecting accurate statuses.
    6. Assist manager with monthly New Provider Orientation including facilitating sessions.
    7. Collaborate with system function teams for the purposes of a smooth onboarding or offboarding process for providers.
    8. Seek out innovative ideas and best practices in provider onboarding and incorporates them into the organization’s onboarding efforts.

Schedule: M-F, days

Hybrid: 2 days in our downtown office. 3 days work from home. Will occasionally work at other hospital locations – approximately 1x/quarter but would encourage more in person visits with our operations leaders.

The Program Coordinator Provider Operations reflects the mission, vision, and values of Northwestern Medicine, adheres to the organization’s Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines and all other regulatory and accreditation standards.

The Program Coordinator will support process improvement and project management efforts related to the NMG and RMG employed and contracted physician, advanced practice provider (APP), and allied health provider (AHP) onboarding and provider lifecycles. The Program Coordinator will use meeting facilitation, data analysis, change management, project planning and other skills in advancing these efforts. Other responsibilities include providing administrative support to the Provider Operations Director and Managers. 

Responsibilities:

  • Collaborates with system functions to communicate and operationalize onboarding needs of new physicians and providers to ensure onboarding timelines are achieved. Teams include: Medical Staff Office, Revenue Cycle, Marketing/Communications, Operations, IT, Legal, Finance, Credentialing and the Feinberg School of Medicine.
  • Assists in preparing reports to demonstrate the effectiveness of Provider Operations initiatives by collecting, analyzing and summarizing data trends.
  • Act as a change agent, championing a positive and thorough provider experience, by supporting project teams through process improvement initiatives.
  • Evaluate the provider onboarding process and make recommendations for improvements.
  • Exemplifies excellent customer relations in interactions with providers and employees, and serves as a positive role model through initiative, involvement and availability. Serves as a coach to leadership, teams, and individuals providing direction on best practices in onboarding.
  • Coordinates the New Physician Orientation Program by handling administrative details, registration, and preparation of onsite materials and executes appropriate follow-up to ensure a smooth orientation and integration process for new physicians.
  • Communicates effectively, demonstrates strong creative problem-solving and conflict management skills. Keeps appropriate administrators/directors informed of issues, and regularly monitors their solutions. Utilizes critical thinking skills to provide recommendations and/or other corrective actions as needed.
  • Seeks out new ideas and best practices in provider onboarding and incorporates them into the organization’s onboarding efforts.
  • Collaborates with leadership to ensure onboarding resources are continually updated including forms, websites, and other department materials.
  • Performs various administrative support functions which require proactive coordination, management and communication; multi-task in a fast-paced environment with changing priorities. 
  • Participate in system-wide training efforts on improvement methods.
  • Performs other duties as assigned
