This is a fully remote role supporting a fast-moving, AI-first Talent team across engineering, research, product, go-to-market, and corporate functions.
You’ll own the operational engine behind interview processes, ensuring candidates and interviewers have a seamless, well-organized experience.
The role combines high-volume scheduling, candidate communication, ATS management, and interview logistics with opportunities to improve recruiting operations.
You’ll work across calendars, time zones, stakeholders, and changing priorities while maintaining a high standard of accuracy and responsiveness.
A key part of the role is using AI and automation to eliminate repetitive work and make coordination workflows more efficient.
You’ll also help identify friction in the hiring process and turn recurring challenges into practical process improvements.

Accountabilities

Coordinate interview loops across multiple functions, scheduling candidates and interviewers within established service-level expectations.

Manage complex calendars, time zones, stakeholders, virtual interviews, onsite processes, and travel logistics while maintaining accuracy.

Communicate clearly and warmly with candidates throughout the hiring process, helping create a consistent and positive experience.

Maintain accurate and reliable candidate records in the ATS, including stages, feedback, dispositions, and other recruiting data.

Proactively follow up with interviewers to encourage timely feedback and keep hiring processes moving efficiently.

Use AI tools, automation, templates, and workflow improvements to reduce repetitive coordination work and improve scheduling speed.

Build and refine Human+AI workflows that streamline recurring recruiting operations rather than relying on manual processes.

Identify recurring bottlenecks and sources of friction in the hiring process, recommend actionable improvements, and help implement or pilot solutions.

Partner closely with recruiters and hiring stakeholders to prioritize changing requests, flag conflicts early, and keep processes on track.

Handle confidential candidate information and interview materials with discretion and professionalism.

Approximately 1–3 years of experience in recruiting coordination, interview scheduling, talent operations, or a comparable operational role; equivalent demonstrated experience may also be considered.

Strong organizational skills with the ability to manage numerous moving parts, competing priorities, calendars, time zones, and stakeholders simultaneously.

Excellent written communication skills and the ability to create clear, professional, and personable candidate communications.

An AI-first mindset, with the ability and willingness to use modern AI tools as an integral part of day-to-day work.

Demonstrated ability to build or use automation, templates, scripts, LLM prompts, or similar solutions to eliminate recurring manual work.

Experience with Ashby or another modern applicant tracking system is preferred.

Base salary of $80,000–$100,000, depending on location, skills, experience, and other job-related factors.
