🛠️ Requirements

  • Proven experience as a Payroll Specialist, Payroll Administrator, Payroll Coordinator, or in a similar payroll-focused role.
  • Hands-on experience processing payroll using Viventium is strongly preferred.
  • Experience with another payroll or HRIS platform may be considered, with the ability to quickly learn Viventium.
  • Strong understanding of payroll processes, including: Employee hours and timekeeping Overtime calculations Payroll deductions and withholdings PTO and leave tracking Employee compensation changes Payroll reporting and reconciliations
  • Experience processing payroll for employees in a logistics, distribution, warehouse, transportation, manufacturing, or other high-volume operational environment is preferred.
  • Strong attention to detail and a high level of accuracy.
  • Excellent organizational and time-management skills, with the ability to meet strict payroll deadlines.
  • Strong problem-solving skills and the ability to investigate and resolve payroll discrepancies.
  • Proficiency in Microsoft Excel or Google Sheets.
  • Ability to handle confidential and sensitive employee information with professionalism and discretion.

The Opportunity:

Under the direct supervision of the Payroll Manager, the Payroll Assistant supports the efficient and accurate operation of payroll processing. This position assists with payroll data entry, employee payroll changes, record maintenance, payroll inquiries, and other payroll-related functions. The Payroll Assistant works with a high volume of payroll information for 900+ employees across multiple states and must maintain a high level of accuracy, organization, confidentiality, and attention to detail.

This position is remote and offers you the flexibility of working from home.

What You'll Do:

  • Assist with the accurate and timely processing of payroll in accordance with established company policies, procedures, and applicable requirements.
  • Maintain payroll records by collecting, reviewing, calculating, and entering payroll data.
  • Record employee hours worked, process time records, and maintain payroll control records.
  • Review payroll information for completeness and accuracy and identify discrepancies for correction.
  • Process and record payroll adjustments related to previous payroll errors, retroactive pay increases, and other approved changes.
  • Assist with high-volume payroll processing for 900+ employees across multiple states.
  • Maintain current knowledge of payroll procedures, resources, and information necessary to support multi-state payroll processing.
  • Assist with processing employee payroll changes, including direct deposit changes, payroll deductions, child support orders, wage garnishments, wage verifications, and other approved payroll-related changes.
  • Verify payroll changes and supporting documentation for accuracy before processing.
  • Serve as backup support to the Payroll Supervisor in processing payroll and preparing paychecks for distribution.
  • Assist with payroll reconciliation and research discrepancies as requested.
  • Respond to employee questions and requests regarding payroll in a timely, professional, and courteous manner.
  • Provide accurate information regarding payroll-related matters while referring to issues requiring additional review or approval to the Payroll Manager.
  • Maintain organized and accurate payroll files and records.
  • Follow established payroll policies, procedures, internal controls, and applicable confidentiality requirements.
  • Protect confidential employee, payroll, compensation, banking, and personal information.
  • Assist with audits, reporting, and payroll-related documentation as requested.
  • Assist with special projects and other payroll-related assignments in the direction of the Payroll Manager.
  • Perform other duties and responsibilities as assigned.

    Qualification & Experience Required:

    • Previous payroll, accounting, human resources, or administrative experience preferred.
    • Strong attention to detail and commitment to accuracy.
    • Ability to work effectively in a high-volume, deadline-driven environment.
    • Strong organizational and time-management skills with the ability to prioritize multiple tasks.
    • Ability to input information quickly and accurately.
    • Strong numerical and analytical skills.
    • Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
    • Excellent verbal and written communication skills.
    • Ability to communicate professionally with employees, Management, and internal departments.

    • Ability to follow established procedures and identify when an issue requires escalation.
    • Proficiency with computers and standard office equipment.
    • Ability to use computer terminals, ten-key/keypad by touch, fax machines, copiers, and other office equipment.
    • Ability to sort, organize, and file records numerically and alphabetically.
    • Working knowledge of Microsoft Office applications, including Excel and Word, preferred.
    • Ability to learn and utilize payroll and timekeeping systems.

    Service Fee:

    Industry standards applicable to the state depend on work experience and level of expertise.

    Hours:

    US Eastern Standard Time (EST) - Monday to Friday, 08:30 am to 05:30 pm
