Full job description

As the employment agency hiring temporary workers to be assigned to the Gates Foundation, AgileOne is responsible for direct hiring and seeking candidates for this temporary role at the Foundation.

AgileOne designs and develops global workforce and procurement solutions for Fortune 1000 companies. Our focused and consultative approach provides solutions that streamline business processes and deliver efficiencies to human resources, procurement, and suppliers.

The Foundation

We are the largest nonprofit fighting poverty, disease, and inequity around the world. Founded on a simple premise: that people everywhere, regardless of identity or circumstances, should have the chance to live healthy, productive lives.

Your Role

The Senior Program Coordinator will support the Exemplars in Global Health (EGH) program within the Global Development Division. EGH combines research and investment-making across a broad range of global health topics. The team generates high-quality evidence and practical insights to help governments, policymakers, practitioners, and funders strengthen health systems, improve service delivery, and use limited resources more effectively.

The Senior Program Coordinator will manage and coordinate grants, contracts, and non-funded research projects throughout their lifecycle. The role will provide budget oversight and planning, contribute to financial forecasting and reporting, and support portfolio and operational management.

The position will support approximately 40 to 50 active investments and approximately $25 million in new grants and contracts during the assignment. The portfolio consists of approximately 80% grants and 20% contracts, with an increasing use of contracts to support research activities.

The Senior Program Coordinator will work with three Deputy Directors, as well as Program Officers, Business Partners, grantees, vendors, Finance, Legal, and Grants and Contracts teams. The role requires proactive planning, strong stakeholder communication, attention to detail, and the ability to manage a high volume of investments and changing priorities.

What You’ll Do

  • Coordinate end-to-end investment-making processes with internal collaborators, including Program Officers and Business Partners, and external partners, including grantees and vendors.
  • Manage key investment deadlines, invoices, deliverables, required reports, and expenditures.
  • Perform initial due diligence and review reports, grant summaries, and related analyses.
  • Coordinate activities within the Foundation’s internal investment systems.
  • Track non-funded research projects from beginning to end, including staff time, stages of project development, key milestones, and deliverables.
  • Help provide a complete view of how funding and staff time are being used across the EGH team.
  • Plan, manage, and implement portfolio-management and analysis processes for investment and research portfolios.
  • Analyze portfolio performance, identify risks, and provide detailed updates to leadership.
  • Serve as a subject-matter resource on investment tools, systems, and templates.
  • Provide training and coaching to program teams and external partners when needed.
  • Contribute to the team’s annual planning, forecasting, budget cycles, and recurring portfolio reviews.
  • Support grant payment schedules and related financial analysis.
  • Build and maintain relationships with key internal and external stakeholders, including grantees, partners, Finance, Legal, and Grants and Contracts teams.
  • Support team process improvements and the rollout of new internal processes.
  • Raise issues to the appropriate partners in a timely manner.
  • Support an inclusive team culture through professional behaviors and actions.

Your Experience

  • Bachelor’s degree or equivalent demonstrated experience.
  • Experience in strategy development, project management, portfolio management, program management, financial management, financial reporting, nonprofit work, or a related business area.
  • Practical knowledge of budgeting, financial analysis, and information synthesis.
  • Experience contributing to forecasting and financial planning.
  • Ability to analyze data across multiple tools and databases.
  • Practical understanding of investment rules, regulations, policies, processes, and practices.
  • Expertise in all phases of investment-making.
  • Practical knowledge of investment-management systems and tools such as Access, Excel, SharePoint, and other web-based applications.
  • Strong and practical knowledge of project management and execution.
  • Experience managing multiple investments, deadlines, deliverables, and stakeholder relationships.
  • Previous Senior Program Coordinator experience is preferred.
  • Previous Gates Foundation experience is preferred.
  • Experience managing a high-volume portfolio of grants and contracts is preferred.
  • Experience working with grantees, vendors, internal business teams, and senior stakeholders is preferred.
  • Portfolio-analysis experience is preferred, but flexibility may be considered for an otherwise strong candidate.
  • A highly qualified Program Coordinator with strong grant, contract, financial, project, and portfolio-management experience may also be considered.
  • A research background is helpful but is not required.

* This is an approximately 11-month temporary assignment based in Seattle, Washington. The role follows a hybrid schedule, with approximately 50% onsite work. Tuesday is the team’s primary onsite day. No travel is currently expected.

*Must be able to legally work in the United States without visa sponsorship.
